Q: Who does the Grant Development & Compliance Office serve?

 A: Grant Development & Compliance serves all the College's campuses (faculty, staff, and administration) to obtain external funding through competitive grants.

Q: I am a student seeking grants for my education; what should I do?

Q: May my grant applications be submitted at any time?

 A: Few grantors accept applications at any time. Most Requests for Proposals (RFPs) specify a deadline date when the grantor must have the completed proposal in hand in order for the application to be considered. 

Q: How soon will I find out if a proposal will be funded?

A: The length of time between submittal and notification varies. Some agencies take six months or longer to decide which applications will be funded.

Q: Who is authorized to sign a proposal submitted by Amarillo College?

A: Only the President has signature authority.

Q: How do I submit my grant application?

Q: I've been awarded a grant, what do I do next?

Q: When my proposal is funded, how do I set up an account or purchase supplies for my project?

Q: Is help available in meeting compliance requirements, especially if the funds are from a state or federal entity?

A: Yes. Contact the Grant Development & Compliance Office regarding non-financial compliance issues. Contact Dorothy Crockett, Grant Accountant, for financial compliance assistance. 

Q: What is "time and effort reporting" and why is it important?

 A: Time and effort reporting is a federally required reporting confirmation of an individual's time spent conducting grant activities.  It is important because most federal grant funding is for salary support. Discrepancies between time and effort reports are the main reason for cost disallowance on federal grants.  It is important for all department directors to keep track of the percent of time grant funded employees spent on all grant related activities.

Q: Why does Grants Administration care whether my project reports are submitted?

A: The Office of Grants Development and Compliance tracks the due dates and submissions of award deliverables for all grant projects on Amarillo College campuses to help ensure campus compliance with funder reporting requirements.  Past due reports place the College's future funding at risk. 

Q: Do I need approval for travel on a grant project?

A: All travel must be approved by Grant Compliance and Grant Accounting. Some grant awards also require travel to be pre-approved by the funder.  This condition is part of the award terms and conditions.  If you're not sure if your grant project travel needs to be approved, check with your assigned Grant Administration Coordinator.

Q: What receipts do I need for my travel related expenses?

A: Expenses paid from grant funds are subject to the rules, regulations and restrictions of the grant or the granting entity.  Please reference the Amarillo College travel policy (https://www.actx.edu/forms/travel-policies-and-procedures) and Grant Administration Handbook for further directions.
